Cancellation Policy

1. Overview
This Cancellation Policy explains how you can cancel your Pitch MetRx subscription, when cancellations take effect, and what happens to your account and data after cancellation. This policy applies to all subscription plans offered by Pitch MetRx.
2. How to Cancel Your Subscription
You may cancel your subscription at any time using any of the following methods:
2.1 Through Your Account
The easiest way to cancel is through your Pitch MetRx account:
- Log in to your account
- Navigate to the Account page
- Go to the Subscription or Billing section
- Click "Cancel Subscription" or "Manage Subscription"
- Follow the on-screen instructions to confirm cancellation
2.2 By Email
You may also cancel by sending an email to customerservice@pitchmetrx.com with the subject line "Cancel Subscription" and include:
- Your account username or email address
- Your request to cancel the subscription
- The reason for cancellation (optional, but helps us improve)
We will process your cancellation request within 2 business days and send you a confirmation email.
2.3 Through Payment Processor
Since payments are processed through Stripe, you may also manage or cancel your subscription directly through your Stripe customer portal if you have access to it.
3. When Cancellation Takes Effect
Important: Cancellation takes effect at the end of your current billing period. You will continue to have full access to all paid features until the end of the period you have already paid for.
3.1 Immediate Cancellation
When you cancel your subscription:
- Your subscription will not automatically renew at the end of the current billing period
- You will continue to have access to all paid features until the end of your current billing cycle
- You will not be charged for any future billing periods
- You will receive a confirmation email once the cancellation is processed
3.2 Billing Period Examples
- Monthly Subscription: If you cancel on January 15th and your billing date is the 1st of each month, you will have access until February 1st.
- Annual Subscription: If you cancel on March 10th and your billing date is January 1st, you will have access until the next January 1st.
4. What Happens After Cancellation
4.1 Access to Features
After your paid period ends:
- Your account will be downgraded to a free tier (if available) or deactivated
- You will lose access to premium features
- You may lose access to certain data or reports depending on your subscription tier
4.2 Your Data
We understand that your data is important:
- Data Retention: We will retain your data for a period of 30 days after cancellation to allow you to reactivate your account if you change your mind
- Data Export: You can export all your data at any time before or after cancellation through the Reports section or by contacting support
- Data Deletion: After 30 days, your data may be permanently deleted in accordance with our Privacy Policy, unless you request earlier deletion
- Backup Data: Some data may remain in our backup systems for up to 90 days for disaster recovery purposes
4.3 Account Reactivation
If you wish to reactivate your subscription within 30 days of cancellation:
- Your data will still be available
- You can resubscribe through your account or by contacting support
- You will be charged at the current subscription rate
5. Refund Policy
5.1 General Refund Policy
Pitch MetRx operates on a subscription model with the following refund terms:
- No Automatic Refunds: Subscription fees are generally non-refundable once charged
- Pro-rated Refunds: We do not provide pro-rated refunds for unused portions of your billing period
- Exception Cases: Refunds may be considered on a case-by-case basis for exceptional circumstances
5.2 When Refunds May Be Considered
We may consider refund requests in the following situations:
- Technical issues that prevent you from using the Service that we cannot resolve
- Duplicate charges or billing errors on our part
- Circumstances required by applicable law (e.g., consumer protection laws in your jurisdiction)
- Special circumstances at our sole discretion
5.3 How to Request a Refund
To request a refund:
- Contact us at customerservice@pitchmetrx.com
- Include "Refund Request" in the subject line
- Provide your account information and the reason for your refund request
- Include any relevant documentation or details
We will review your request and respond within 5-10 business days.
5.4 Refund Processing
If a refund is approved:
- Refunds will be processed to the original payment method within 5-10 business days
- Processing times may vary depending on your financial institution
- You will receive a confirmation email once the refund is processed
6. Trial Periods
6.1 Free Trials
If you are on a free trial:
- You may cancel at any time during the trial period without being charged
- No payment method is required for free trials (if applicable)
- Canceling during the trial period will prevent automatic conversion to a paid subscription
6.2 Trial to Paid Conversion
If you do not cancel before the trial period ends:
- Your subscription will automatically convert to a paid plan
- You will be charged according to the subscription plan you selected
- Standard cancellation and refund policies will apply from that point forward
7. Automatic Renewal
7.1 How Auto-Renewal Works
By default, subscriptions automatically renew at the end of each billing period:
- We will charge your payment method on file
- You will receive an email notification before each renewal
- The renewal will occur on the same date each billing cycle
7.2 Preventing Auto-Renewal
To prevent automatic renewal:
- Cancel your subscription at least 24 hours before your next billing date
- Ensure your cancellation is confirmed (you will receive a confirmation email)
- Keep a record of your cancellation confirmation
7.3 Failed Payment Attempts
If a payment fails during auto-renewal:
- We will attempt to charge your payment method again
- You will receive email notifications about the failed payment
- Your subscription may be suspended until payment is successful
- After multiple failed attempts, your subscription may be canceled automatically
8. Changes to Subscription Plans
8.1 Upgrading or Downgrading
If you change your subscription plan:
- Upgrades: Take effect immediately, and you will be charged a pro-rated amount for the remainder of your billing cycle
- Downgrades: Take effect at the end of your current billing period
- You will receive confirmation emails for any plan changes
8.2 Price Changes
If we change subscription prices:
- We will notify you at least 30 days in advance
- The new price will apply to your next billing cycle
- You may cancel before the price change takes effect to avoid the new rate
9. Account Deletion vs. Subscription Cancellation
9.1 Subscription Cancellation
Canceling your subscription:
- Stops future charges
- Does not delete your account or data immediately
9.2 Account Deletion
If you wish to completely delete your account:
- You must first cancel your subscription (if active)
- Contact support to request account deletion
- All your data will be permanently deleted (subject to legal retention requirements)
- This action cannot be undone
10. Special Circumstances
10.1 Service Discontinuation
If we discontinue the Service:
- We will provide at least 30 days' notice
- You will receive a pro-rated refund for any unused portion of your subscription
- You will have the opportunity to export all your data
10.2 Violation of Terms
If your account is terminated due to violation of our Terms of Use:
- No refund will be provided
- Access will be terminated immediately
- Standard data retention policies will apply

Your continued use of the Service after changes become effective constitutes acceptance of the updated policy.
13. Legal Rights
This Cancellation Policy does not affect your statutory rights as a consumer. Depending on your location, you may have additional rights under local consumer protection laws, including:
- Right to cancel within a cooling-off period (where applicable)
- Right to refunds under certain circumstances
